Creating a Brand Profile
Your brand profile is the foundation that all CXOps Cloud modules build on. This guide covers both approaches: uploading existing guidelines for AI extraction, and manual entry.
Option 1: Upload Brand Guidelines
Section titled “Option 1: Upload Brand Guidelines”The fastest way to populate your brand identity is to upload an existing brand guidelines document.
- Navigate to Identity from the sidebar.
- Click the Upload tab.
- Select your file — supported formats are PDF, DOCX, and TXT.
- Click Upload to start processing.
CXOps queues an AI extraction job that:
- Reads your document
- Extracts voice and tone attributes
- Identifies language preferences and formality level
- Pulls out approved and prohibited terminology
- Detects legal and compliance constraints
You can monitor the processing status:
- Pending — queued for processing
- Processing — AI is extracting content
- Complete — extraction finished, review results
- Failed — an error occurred (retry from the Upload tab)
Once complete, review the extracted results in each tab and make adjustments as needed. AI extraction is a starting point — you’ll likely want to refine the output.
Option 2: Manual Entry
Section titled “Option 2: Manual Entry”Work through each tab in the Identity interface to build your brand profile from scratch.
Define how your brand sounds:
- Personality traits — e.g., confident, approachable, expert
- Tone — the emotional quality of your writing
- Writing style — sentence length preferences, use of jargon, storytelling approach
Language
Section titled “Language”Set your language preferences:
- Primary language — the main language for content generation
- Locales — regional variations you support
- Formality level — formal, neutral, or casual
Manage your terminology:
- Approved terms (green-light) — words and phrases your brand uses and prefers
- Prohibited terms (red-light) — words and phrases your brand avoids
These are used by the Govern module to automatically flag content that uses prohibited terms or misses preferred terminology.
Define compliance constraints:
- Hard constraints — rules that must be followed (e.g., required disclaimers, regulatory language)
- Soft constraints — guidelines that should be followed but aren’t mandatory
Presence
Section titled “Presence”Record your brand’s online footprint:
- Website URL
- Social handles: LinkedIn, Facebook, Instagram, X (Twitter), Bluesky
Personas
Section titled “Personas”Create audience persona profiles (typically 3–30, configurable per deployment):
- Name and role — who they are
- Motivators — what drives their decisions
- Pain points — what problems they face
- Preferred messaging — what resonates with them
- Avoided messaging — what turns them off
Personas are used by Cortex during content generation to target specific audience segments.
After Setup
Section titled “After Setup”Once you’ve saved your brand profile:
- CXOps indexes your brand identity using vector embeddings (this happens automatically in the background).
- The AI Readiness badge updates to show when indexing is complete.
- All other modules — Cortex, Govern, Adapt — can now reference your brand identity.
Updating Your Profile
Section titled “Updating Your Profile”You can update any part of your brand profile at any time. Each save creates a new version in the History tab, so you always have a record of what changed and when.
